Admins only. Agents cannot change these settings; they see the numbers and mailboxes they were given, and can connect a mailbox of their own that nobody else sees.

Connect the mailbox your automations send from and read replies into. Replies land in the inbox against the right conversation.

Your own Twilio account, in your brokerage's name. The credentials are checked against Twilio before they are stored.

  • Every message in the folders you choose is read, not just messages from leads. Choose a folder that receives enquiries rather than a personal inbox.
  • Only lead mail is kept. A message is stored if the sender is already one of your contacts, or if it replies to a thread this system started. A password reset or a bank notice is read and dropped, not filed.
  • Only the last 10 days are read when a folder is first connected. Anything older stays in your mail client.
  • Replies go out from this address, so the people you email will reply to it.

Email accounts

A mailbox you already own, read carefully.

There is no RealViu mailbox in the middle. Automations send from your address, replies come back to it, and the inbox reads the folders you point it at. The form says exactly what that means before you press anything.

  • Tested before it is stored. Test this mailbox signs in with the details you gave; a mailbox that cannot sign in is never saved as working.
  • App passwords, not your password. Gmail and Microsoft both need one. Spaces are fine, they are removed for you.
  • Folders are yours to choose. Pick the ones that receive enquiries. Pause reading at any time; resume when you want.
  • Brokerage or personal. Admins connect the brokerage's mailboxes and assign them. An agent connects their own, and only they can see it.
Twilio accounts and phone numbers

Your account, your numbers, your reputation.

Texts send from a Twilio account in your brokerage's own name. You hold the account, so your sending history and reputation stay yours, and RealViu never sees your bill: messages go through your credentials and are charged to you.

  • Checked, then encrypted. Your Account SID and Auth Token are verified against Twilio before they are saved. The token is stored encrypted, never shown again and never sent back to the page.
  • Sending and receiving are separate switches. Use for sending registers a number and touches nothing in Twilio. Receive texts here points the number's inbound webhook at RealViu, which changes its Twilio configuration, so the screen says so and checks it stays pointed.
  • Already in use elsewhere? If a number's webhook already points at another system, you are told, and asked to continue only if you know what is on the other end.
  • One number per conversation. A thread stays on the number it started on, so replies always come back to the same place. Campaigns get their own default.
  • Carrier registration first. Texting Canadian and US numbers needs registration on your Twilio account. The review takes a few days, so start it before you plan a campaign.

Business hours

Nothing sends in the middle of the night.

Set the days and hours your brokerage is open, in your own time zone, and mark the days it is closed. Automations hold messages outside those hours and send them when you open, so a follow-up written at midnight arrives at a reasonable time.

  • Three levels, resolved in one place. A flow step can carry its own hours, an agent can set theirs, and the brokerage sets the default. The engine and the card always agree about which one applies.
  • Agents keep their own closed days. The brokerage list is inherited; an agent can switch off a date they work and add the days they observe. "The office closes for Christmas and I work it" is expressible.
  • Nothing set means nothing sends. Until hours exist, any step that checks business hours refuses to run rather than guessing.
  • Changes apply on the next step. Flows already running pick up new hours as they go; nothing is restarted.
AI credentials, access and limits

Whose key, who may spend it, and where the ceiling is.

The AI steps in your flows and the Rewrite button in the inbox run on a key. It can be the one RealViu lends you, with a monthly ceiling, or your own, billed by your provider with no RealViu limit at all. Either way you can see who may use it and how much has been used.

  • Your own key takes priority. Add a key from OpenAI, Anthropic, Google Gemini, OpenRouter or Ollama Cloud, name it so you recognise it, type the model exactly, and test it. The key itself is never shown again.
  • Access is a choice, not a default. Administrators only, only the people you choose, or everyone in the brokerage including people who join later. Automations use the key on their own; the Rewrite button spends it on behalf of whoever presses it.
  • Limits you can see before you hit them. The texting and AI that RealViu supplies each have a monthly ceiling. The panel turns amber at 80 percent and says what stops at 100: sending pauses for the rest of the month and restarts on the first.
  • The month is yours. Usage is counted in the calendar month of your own time zone, not ours. Where no limit is set, the panel says so rather than showing a number.
  • Agent alerts stay discreet if you want. Choose whether the automatic texts to your agents may include customer details. Flows that still name the customer are listed so you can fix them.

Communications Settings comes with the Automated AI Lead Engine, the add-on that switches on texting, the inbox and Automation Flows. It is the first screen to visit after the add-on is on, and the one to come back to whenever a number or mailbox changes.

Twilio bills your account directly for every message part. Email campaigns send through RealViu's own service and are covered by your plan's email allowance instead.

Before you connect anything.

Who can change these settings?

Brokerage admins. Agents see the numbers and mailboxes they have been given, can connect a personal mailbox that only they can see, and can set their own business hours and closed days on top of the brokerage's.

Do I need my own Twilio account?

Yes. Texting sends from a Twilio account in your brokerage's name, so the numbers, the sending history and the reputation are yours, and Twilio bills you directly for every message part. RealViu never sees that bill. Carrier registration for Canadian and US texting happens on that account and takes a few days.

What does connecting a mailbox actually read?

Every message in the folders you choose, going back ten days at the first connection. Only lead mail is kept: a message from an existing contact, or a reply to a thread the system started. Everything else is read and dropped immediately, and never reaches the inbox.

Are my credentials safe?

Your Twilio token and mail passwords are checked against the provider before they are saved, stored encrypted, never shown again and never sent back to the page. Use an app password for Gmail and Microsoft rather than your normal one.

What happens outside business hours?

Automations hold the message and send it when you open. A flow step can carry its own hours, an agent can set theirs, and the brokerage hours are the default. If no hours are set at all, any step that checks them refuses to run rather than guessing.

What are the spending limits?

Monthly ceilings RealViu sets on the texting and AI it supplies. They are shown, not set by you: the panel shows the ceiling, what has been used in your own calendar month, turns amber at 80 percent, and says what pauses at 100. With your own AI key there is no RealViu limit; your provider bills you.

What are agent alerts?

Automatic texts to your agents about their own leads, such as a new enquiry or a booked showing. You choose whether those texts may include the customer's details. Any active flow whose alert still names the customer is listed so you can change it.
